More formally, we are the Workers’ Resource Centre, a charitable organization registered in Calgary, Alberta, Canada. Our Charitable Registration number is 857269708RR0001 and our registered office is at #230, 999 8 St. SW, Calgary, AB, T2R 1J5. 

For the purposes of this privacy policy, Carolyn Krahn is the Data Controller.

How We Use Your Information

  • Contact you to set up intake and casework appointments 
  • Access your eligibility for our free services
  • Provide links to external resources that may be able to assist with your issue
  • Send you information, updates and resources related to the Workers’ Resource Centre and workers’ rights in Alberta.

We compile statistics about user trends on our Website, which are used by third party organizations to understand how users interact with organizations, brands, and one another online and to advise about these things. These statistics are drawn from a dataset which does not contain any information from which you can be identified. 

What We Collect

Information you give us—this is information about you that you give us by filling in forms and questionnaires on our Website, one of our partner websites or by corresponding with us by phone, email or otherwise.  

We use this information to assist you with claims, reports, complaints, and appeals with Employment Insurance (EI), Alberta Employment Standards, Labour Program (Canada), Alberta Human Rights Commission, Canadian Human Rights Commission, Alberta Income for the Severely Handicapped (AISH), Canada Pension Plan – Disability (CPP-D) Workers Compensation Board of Alberta (WCB), and other relevant services. 

The information we collect depends upon the nature of your issue and the specific services that you request from us. We only request the minimum data required for you to use our services. 

Information We Collect:

  • Personal Information –  including your name; date of birth; phone number; email address; home address; photos of government-issued identification; paystubs; records of employment; social insurance number; sources of income; employment status; gender; race; sexuality; sources of income; details about discrimination you have experienced; safety issues at work; details about illness, injury, and/or disability; significant dates (i.e. date of termination, most recent date you experienced discrimination); and any additional documentation or details you choose to disclose about the nature of the issue you are experiencing. 
  • Information about your visit – this includes the full Uniform Resource Locators (URL), clickstream to, through and from our Website (including date and time), pages you have visited, page response times, download errors, length of visits to certain page and page interaction information (such as scrolling, clicks, and mouse-overs). 

The information and content held on our Website is deployed geographically to maximize user experience. All information that could identify individuals within Canada is only processed within Canada. We will never share your user information with third parties for promotional purposes. 

We take the security of your personal data very seriously. Our approach to information security is constantly evolving and continually reviewed. We have adopted industry best practices from both technological and business process perspectives in order to make the security of your data a key part of the way we operate. 

Use Of Third Parties

The Workers’ Resource Centre uses a number of trusted third-party service providers to deliver its services. These include: 

  • communication service providers (email, telephone and video conferencing) 
  • website management and hosting providers 
  • online form providers 
  • client relationship management systems for maintaining client and donor records and processing donations 

We only collect and store personal data that users explicitly provide to us through our website, digital forms, email, telephone, video conferencing and in-person meetings. If an individual becomes a client of ours, their information is transferred to our internal client relationship management system for secure record-keeping. 

We do not bill users for services, and we do not store or process credit card data directly. All donations are handled securely through third-party platforms. We ensure that all third-party providers we work with comply with applicable privacy and data protection standards. 

Our Website may contain links to and from the websites of our partner networks and affiliates. If you follow a link to any of these websites, please note that these websites and any services that may be accessible through them have their own privacy policies. We assume no responsibility or liability for any third-party sites’ privacy policies or practices. We advise you to read the privacy policy of each site you visit before you submit any personal data to these websites or use their services. 

Access to Information

You have the right to find out what information we hold about you. You can exercise that right by contacting us, and we will send you your information in a suitable electronic form within 20 working days. To make a request for information please contact info@helpwrc.org

If your personal data is incorrect, you have the right to rectify this information and ensure that it is accurate and up to date. If your data is incorrect, please contact us at the email address above and a member of the team will make the correction. 

You have the right to be forgotten and to have your personal identifiable information permanently deleted from our systems. If you would like to exercise this right, please contact us. There will be no charge made for reasonable electronic access to your information, your right to rectification or for your right to be forgotten from our systems.

Data Retention

At the Workers’ Resource Centre, we retain complete case records of our clients for a period of 24 months. 

At 24 months, we export the file to our encrypted offline archive and scrub direct identifiers (name, DOB, SIN, address, phone, email) within 30 days. 

If you have not interacted with us or accessed our services during this period, we will delete direct identifying information (name, address, date of birth, social insurance number, documents you have shared with us, and notes on your file) from our systems within 30 days.  

We collect and retain non-identifying information to help us better understand the needs of our clients, assess the effectiveness of our services, and make data-informed improvements. This anonymized information may include general demographic details such as age, gender, race or ethnicity, municipality of residence, the type of issue we supported you with, and the outcome of that support. This information cannot be used to identify you and is stored in accordance with applicable privacy legislation. We retain this data for up to 7 years.
